Once theyve gone through us and seen how we get down to the show, they head up north and conclude their tours during the summer party season up there. Behind the Scenes. Attention to detail and a great deal of planning goes into the staging of a large concert and the promoter will often begin preparing several months before the event. The first stage of planning any event is the conceptualization of the event itself. The South African promoter will usually approach the agent of a particular international act or alternatively the artist or bands agent will go to the concert promoter to arrange a live event locally for promotional purposes. An artist or band will be selected by the promoter to perform locally based on their popularity internationally and in South Africa andor because of interest from potential concert sponsors. After the promoter has conceived of the idea behind an event, they must find the cash to make it happen. Without upfront capital it is almost impossible to realise a live event and this usually involves finding a sponsor to help fund the concert. According to Attie van Wyk, sponsorship is absolutely essential. For any big concert event, the promoter needs to find a sponsor to assist with financing and a media sponsor to assist with the marketing. You have to ensure that the event that you have conceptualized is exciting enough to get good sponsorship, says Attie. Sponsors benefit by associating their brand with the high profile event. Dunhill, Standard Bank, MTV, Peter Stuyvesant and Coca Cola have all been high profile sponsors at past Big Concert events. Once they have the financial backing needed, the promoter has to secure a venue before offering an itinerary to the agents for those particular acts. The promoter then presents the agent with a feasibility study which shows the agent that the act has a big enough following and that its financially viable to bring the performer to South Africa. Of course the acts feasibility would have been established when courting potential sponsors. The tricky part is negotiating with the agent as to how the act is to be paid for performing. It would either be a set fee or a percentage of the net amount. The agent will obviously go with whichever option they feel will earn the act the most amount of money. Once the offer is settled a contract gets drawn up, both parties sign, and the act and the promoter are bound legally. At this point, the promoter then pays funds into a trust account which nobody can access until the date of the event. So this means that although the promoter would have already paid the act, the money would not be available until the act actually performed. This is an assurance that in the unfortunate event that the act could not play, the promoter would not lose money. Once contracts have been signed, the venues are confirmed, ticket agents are appointed and media partners and publicists are brought on board. Local support artists are then also contracted and an advertising and marketing campaign is created in conjunction with the concert or tour sponsors. A Team Effort. It really does take a team to ensure a successful concert with each player ensuring that the event runs smoothly from start to finish. The last stage of organizing a massive event is to assemble a team of professionals to assist in getting the event off the ground.
